Provide high-level administrative support by preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings
What You Will Do:
Responsibilities
Coordinate daily office operations to ensure efficiency and functionality.
Coordinate and schedule department meetings, events, and logistics to support team objectives.
Oversee office supply inventory and maintain vendor relationships for seamless office maintenance.
Assist the Human Resources department with administrative tasks and employee support.
Plan and organize company events and meetings to enhance employee engagement.
Support facilities management to ensure a safe and efficient work environment.
Perform data entry and maintain office records with attention to detail.
This includes, but is not limited to the ability to be present at work, arrive on time and be at the work station ready for work at the start of the shift.
Assist with Switchboard Rotation including answering phone calls and directing calls to appropriate parties or take messages.
Attendance at work during the regularly scheduled shift is an essential duty.
Compile data, and prepare papers for consideration and presentation by executives.
Greet visitors and determine whether they should be given access to specific individuals.
Compile, transcribe, and distribute minutes of meetings.
Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
File and retrieve corporate documents, records, and reports.
Make travel arrangements for executives.
Manage and maintain executives' schedules.
Open, sort, and distribute incoming correspondence, including faxes and email.
Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
Prepare agendas and make arrangements, such as coordinating catering for luncheons, for sales meetings, and other meetings.
Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
Prepare responses to correspondence containing routine inquiries.
Process payroll information.
Provide clerical support to other departments.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.

2+ Years administrative or related experience required
Able to use Microsoft Office Applications
Soft Skills
Communication and organizational skills with the ability to collaborate with cross functional teams
Attention to detail and data management skills
Capable of designing and editing graphic presentations and materials
Physical Demands
This role is performed in an office environment where a computer, telephone and other office equipment are used as needed to perform the duties of the role. This role may need to access areas within the building that are undergoing renovations which may contain jobsite hazards. Occasionally this role will required to push, pull, bend, lift and move up to 25 lbs.
