The Administrative Assistant supports daily operations within the plant by performing a wide range of clerical, organizational, and communication tasks.Job Responsibilities & Requirements
A Brief Overview
Responsible for providing general office support with a variety of clerical activities and related tasks. The ideal person for this position will be a problem solver with exceptional communication skills and attention to detail. They must be able to multitask, manage a busy schedule and provide administrative support both internally and externally.
Responsibilities
· Provide administrative support to plant management, department supervisors, purchasing and team leads
· Assist with scheduling meetings, training sessions, and new employee orientations including badge setup, labor clock in’s, and uniforms
· Serve as a point of contact for internal and external communications, including vendors, contractors, suppliers, and corporate offices
· Support purchasing department by processing purchase orders, receipts, and invoices
· Support safety department through documentation and recordkeeping, scheduling and coordination, and communication support
· Maintain office supplies and ensure administrative areas are organized and stocked
· Comply with all plant safety policies and ensure proper handling of sensitive or confidential information
· Maintain badge records and access to facility
· Collect, distribute, and scan incoming mail
· Greet and register visitors, contractors, and vendors in accordance with site security policies
· Compile daily media for MVIX system and post communications on digital monitors
· Ensure important updates and announcements are delivered site-wide promptly and accurately
· Work with external vendors to request quotes, reserve spaces, place orders, and confirm delivery and setup for onsite and offsite events
· Coordinate with supervisors to ensure event and training participation without disrupting production
· Create and distribute event flyers, invitation, emails, and organize raffles
· Assist in setup of monthly All Hands meetings for plant employees
Qualifications
· Associates General Studies required
· 2+ Years Administrative experience required
· 2+ Years Data entry experience required
· Equivalent combination of experience and education which clearly indicates the ability to perform the essential functions of the position may substitute on a year for year basis
· Able to use Microsoft Office Applications
Physical Demands
This role is performed in an office environment where a computer, telephone and other office equipment are used as needed to perform the duties of the role. Willingness to work in or around industrial plant areas.
