Job Description
This role is responsible for ensuring the smooth and efficient operation of business administration across MiTek. It plays a central part in supporting daily activities by maintaining clear communication with all departments and helping to keep processes structured and streamlined. Acting as the first point of contact for the business, the role manages incoming calls and provides a welcoming and professional interface for colleagues, visitors and clients. It also oversees the organisation of meeting rooms, lunches and general office logistics, while delivering comprehensive administrative support to ensure the wider team can operate effectively.Job Responsibilities & Requirements
ESSENTIAL FUNCTIONS
Office Management
Process post daily.
Maintaining office supplies, e.g., stationery, milk for canteen, ordering ad hoc equipment/literature for efficient running of departments.
Organizing office space and arranging meeting rooms for visitors and staff when requested.
Maintain physical and digital files for numerous departments.
Post and track parcels and correspondence
Facilities Coordination
Maintain Service Management records, spreadsheets, and documentation.
Prepare quotes, reports, and updates for the Facilities Manager.
Access badge control, creation, and management of key log
Support the Facilities Manager when required.
Scheduling and Coordination
Answer any switchboard calls (approximately 10 – 20 per day) and pass on to relevant departments.
Ordering lunch, preparing rooms for meetings/visitors.
Enter sign in visitors.
Set up webinars for CX – send out the forms via Teams, send reminders & invites.
Liaise with presenters regarding timelines and recordings.
Prepare training notes for each trainee – print & bind notes.
Arrange refreshments & lunch, book trainees onto the system, and set up the room.
Salesforce/Website
Set up customer logins for both the Salesforce Knowledgebase Portal and Website.
Add trainees to Salesforce when training is completed to allow trainees to receive their certification.
Manage all requests from the website inbox and deal with them appropriately.
Maintain the Salesforce database, ensuring all customer contact details are up to date and correct.
Health & Safety Support
Administration support for Health & Safety as and when required.
Coordinate H & S training for staff, including forklift, crane, and manual handling training.
Update the training schedule as and when required to assist audits.
Send certification to staff and store files appropriately.
Travel Arrangements for Visitors/Staff
Assist with corporate MiTek visits, such as support with booking flights, car parking, hire cars, dinner reservations, hotels etc. or any other staff requirements.
Coordinate and create itineraries for any overseas visitors if required.
Liaise with colleagues from EMEA or USA regarding any event bookings.
Amend any staff requirements as necessary.
Prepare, proofread and amend any Trading Agreements or Services contracts as necessary ready to send to customers.
When signed documents are received back from customers enter details on Salesforce and distribute them to relevant departments.
Store agreements appropriately in Salesforce.
